Job Title               :              Administrative Assistant - III
Duration              :               4+ Months
Location               :             Chandler, AZ 85226 (Hybrid Role. Will be looking to work onsite as of August)
Shift Hours          :              8 am-5 pm
Shift Days            :              Monday-Friday
 
Job Description:
Seeking a highly experienced, organized, and action-oriented individual to provide professional administrative support for the Global Communications Team.
 
This role will provide direct support to the 3 leaders of the team as well as the broader team as necessary.

Responsibilities include but are not limited to:
  • Make extensive travel arrangements (domestic and international) and prepare expense reports.
  • Provide support for departmental events, quarterly events, and recognition as well as coordinating activities across the organization, events, face-to-face meetings, etc.
  • Exercise diplomacy, tact, and judgment in interacting with a wide range of constituents at varying levels of an organization including staff at all levels and administrative staff.
  • Demonstrate strong accuracy and attention to detail while taking the initiative to manage logistics of the department/ division such as maintaining divisional organizational charts, and divisional logistics needs.
  • Work closely with senior and executive administrative staff, demonstrate strong verbal/written communication skills, and work well on a team.
  • Demonstrate strong customer service orientation and use discretion and judgment to ensure applicable private /proprietary business information, data, transactions, and correspondence maintain confidentiality and sound judgment.
  • Receive, interpret, and evaluate the level of significance of information requests, take appropriate responsive action, and determine when the executive or other staff should be notified or involved. In the executive's absence, ensure that requests for action or information are distributed to the appropriate staff member.
  • Anticipate the business needs of the leadership team/admin team, proactively formulating and evaluating solutions and/ or recommendations to facilitate meeting deadlines and achieving goals.
  • Assist in resolving administrative needs for improvement/problems by coordinating the preparation of reports, analyzing data, and identifying solutions working closely with management and human resources.

    Minimum Qualifications:
  •  7+ years of administrative assistance experience.
  • High degree of proficiency with Microsoft 365 and all Microsoft tools (SharePoint, MS Teams).
  • Extensive calendar management expertise.
  •  Experience with travel itineraries and purchasing.
  • Self-starter attitude, taking initiative
  • Collaborative Approach
     
    Preferred Qualifications:
  • Associate degree with 10+ years of experience.
  • Familiarity with client-specific tools, My Travel, Workday, Purchasing Services, My Learning, My Expenses and Teams, etc.
  • Ideal candidate aside from skills necessary, outgoing, able to multi-task, reliable, self-motivated, flexible, bubbly personality
