Title: Administrative Assistant I Duration: 8+ months Location: Toronto, ON Schedule: Monday – Friday – 8:30 AM -5 PM (Onsite – 5 days a week. Training: will be provided based on the team's support needed.
Job Description The Business Operations Support Representative provides administrative and operational support within a defined area. As a key resource and support specialist, you will help maintain smooth business operations through strong administration skills while supporting multiple advisors and broader team activities.
Roles and Responsibilities:
Manage calendars and schedule coordination for multiple advisors.
Support onboarding/offboarding activities for team members.
Handle administrative tasks including reports, invoices, documentation, and mailing.
Maintain confidentiality while handling sensitive customer and business information.
Provide operational and project support to internal teams.
Ensure accuracy and due diligence in all assigned tasks and activities.
Coordinate with internal stakeholders and support cross-functional communication.
Provide backup support and coverage for team members when required.
Train and support new Administrative Assistants on common processes and tasks.
Manage multiple priorities in a fast-paced, deadline-driven environment.
Interpret and follow internal policies, procedures, and compliance standards.
Support process improvements and contribute to efficient workflow management.
Participate fully as a member of the team and support a positive work environment.
Must-Have Hard Skills:
1+ years of Admin experience.
Strong organizational skills.
Detail orientated.
Strong communication skills written and verbal.
Being agile and can pivot at any given time.
Experience using computer applications including Microsoft Office Suite and internet applications (Outlook, PowerPoint, Word, etc.)
Soft Skills:
Ability to work independently as well as part of a team.
Ability to coordinate processes and information across related teams.
Ability to handle confidential information with discretion.
Ability to communicate effectively both written and verbal.
Ability to pay high attention to details.
Strong judgment skills to support initiatives and apply discretion when working with confidential information.
Nice-To-Have:
Previous Banking Experience.
