Job Description

Job Title: Account Coordinator, Promo
Location: Hybrid, 1 day in Branchburg, NJ; 1 day in Florham Park, NJ; 3 days at home
Duration: 12 Months

Job Summary:
Assists the NJ Account Management team on Client Plastics and Regenerative Medicine (PRM) brands, including AlloDerm, Strattice and Revolve; and the women’s health brand, Liletta, by helping to support the development of specific promotional materials and programs. Initiatives range from print projects such as brochures, detail aids, and flashcards to digital projects such as websites, videos, and social media posts. Requirements for the Account Coordinator role include being highly detail-oriented with strong multi-tasking abilities, being able to prioritize workload, having strong written and oral communications, proactively proposing solutions, and working independently. They must also be a team player, collaborating with cross-functional agency team members, like copy, art, editorial and production teams.

Because we work in a highly regulated industry, there are online submissions systems and processes that need to be learned and mastered, such as Veeva Vault and ProofHQ. Additional responsibilities include budget management, tracking literature inventory, managing shipments of literature for conferences, independent management of medical, legal, regulatory and compliance (MLRC) submissions, and managing small projects from start to finish. The environment is fast-paced and challenging but rewarding. Applicants must be ready to roll up their sleeves and learn quickly, be good-natured, work well with multiple team members and clients, show enthusiasm for the position, have a professional demeanor, and demonstrate the ability to be an asset to the team.

Key Duties And Responsibilities: % Of Time Or Importance
1. Core responsibility is to manage MLRC submissions from initial submission through approval to distribute (ATD); and to maintain weekly Client status reports. 30%
2. Manage budget-related processes such as assisting in developing and sending estimates, forecasting project costs into the client budget, and inputting actual billings. All of this is done on an ongoing process throughout the month. 20%
3. Manage literature orders and deliveries for conferences. This includes working hand-in-hand with brand counterparts, corresponding with clinet's sales reps, and the literature warehouse. Key skills for managing this process are being solutions-oriented and customer-service focused. 20%
4. Coordinate and maintain network of internal and external resources appropriate to the successful completion of program objectives. Prepare conference reports and other correspondence necessary for effective project communications. Contribute to the development and maintenance of department databases and history-archiving systems. 20%
5. Coordinate traffic and delivery of all promotional projects, including slides, brochures, advertisements, and website content. Ensure that deadlines are met, and quality is maintained with guidance and oversight of Account Supervisors. 10%

Minimum Requirements
Education and Experience
• College degree in marketing, communications, public relations, advertising or related field.
• Agency and/or admin experience is a plus.

• Must be proficient with the Internet and MS Windows (Excel, Word, and PowerPoint).
• Must be well organized, detail-oriented, and have multi-tasking capabilities, with the ability to prioritize.

• Must be a motivated, self-starter with excellent time management and follow-through skills.
• Must be resourceful and have creative problem-solving skills.
