Job Description

Job Title: Project Assistant 
Location: Vancouver, WA 98684
Duration: 12 months Assignment (potential to temp to hire)
Shift/Hours: 40hours/week, M to F, Eligible for flex 9/80.
Work Model: Fully Onsite

 
Summary:
  • This position is responsible for performing general administrative office support for company projects.
  • This is an onsite position; no remote/no hybrid. 
  • May work on federal projects.
Key Responsibilities:
  • General administrative support for company projects.
  • Organize and maintain project files, filing system and project communications.
  • Track status of projects and produce monthly progress reports. Maintain tracking system for projects.
  • Update record copies, engineering project documentation and changes.
  • Provide information to facilitate questions regarding projects and prepare research information.
  • Record minutes from Project Manager/team meetings.
  • Answer phones and direct calls.
  • Collect and distribute client bills and invoices.
  • Type memos, correspondence, reports and other documents as requested.
  • Coordinate travel arrangements and any other internal services for various project needs.
  • Reserve conference rooms and coordinate client, vendor and/or supplier presentations, meetings and interviews, including set-up and cleanup.
  • Schedule and set-up client interviews, presentations and other meetings as requested.
  • Update the project calendar and roster.
  • Maintain data entry of project contact list and project execution plans.
  • Other Job duties as assigned.
Requirements:
  • High School Diploma/GED Required.
  • Applicable office/clerical experience.
  • Proficient in Microsoft Word, Excel, Access and PowerPoint required.
  • Strong organizational and time-management skills.
  • Attention to detail and accuracy.
  • Ability to manage multiple tasks and deadlines.
  • Professional written and verbal communication.
  • Ability to work independently and in a team environment.
  • Strong customer service or client-service mindset.
  • Experience supporting multiple managers or project teams.
