Job description

We are seeking a dynamic and detail-oriented Project Coordinator to join the team supporting the T&P (Technology & Product) Connections Tour, a signature technology and product learning roadshow consisting of a series of in-person events across the organization. This contracted role supports the Event Manager (EM) function by executing logistics and onsite operations for assigned Tour Stops. The Project Coordinator will also support administrative efforts for the Tour.

Event Coordination and Onsite Operations:
Contractor is responsible for all standard event responsibilities, look to Event Manager for nuance and relationship management.
Coordinate onsite logistics for assigned Tour Stops, including room set up, A/V, security (if applicable), VTO (Volunteer Time Off), Happy Hour, Catering.
Support as second POC for the Tour Stop, support the run of show and executing real-time pivots during the event.
Accountable for local vendor support and providing guidance/direction for the Site Team, A/V, and all onsite support.
Manage day-of operations, including ensuring supplies and signage are available/set up onsite.
Manage check-in, using badge readers and distributing lanyards.
Assign and support day-of roles, including session setup, running/charging mics, and printing supplies.
Collect ad hoc feedback and event photos, and conduct attendance counts.
Support external vendor onsite management (e.g. photographers, caterers, etc.)

Data Collection and Reporting:
Execute the badge reader process, including setting up the iPad with the event list, ensuring connection to Wi-Fi, and using the device accurately during sessions.
Consolidate badge reader data post-event by airdropping files, saving them to Site Folders, and cleaning up the data by de-duping by badge ID number.
Add site totals and session numbers to the Attendance Tracker within two weeks post-event.
Ensure data per session is uploaded to Learn++ by EOM.
Create site-specific surveys from the template, including changing the site name, grid section, and linking responses to the existing spreadsheet.

Canvas management & maintenance
Data management - collect timely badge reader data and enrollment data, ingest into Learn++ and attendance trackers
