Job Description:
The Project Coordinator (Contingent Worker) provides operational, administrative, and project support for strategic initiatives and cross-functional projects. This role is responsible for maintaining project documentation, coordinating project activities, tracking deliverables, monitoring schedules, managing meeting logistics, and supporting stakeholder communications.
The Project Coordinator works closely with Project Managers, business stakeholders, vendors, and project team members to help ensure projects are delivered on time, within scope, and in alignment with organizational standards and governance practices. This position serves as a key resource for project reporting, issue tracking, risk management, and documentation management.
Key Responsibilities
Project Administration & Coordination • Support Project Managers in planning, executing, monitoring, and closing projects. • Maintain project schedules, action item logs, decision logs, risk registers, and issue trackers. • Coordinate project meetings, workshops, and stakeholder sessions. • Prepare meeting agendas, capture meeting minutes, and distribute follow-up actions. • Monitor task completion and escalate overdue deliverables as appropriate.
Documentation Management • Maintain project documentation repositories and ensure information remains current and organized. • Coordinate creation, review, approval, and distribution of project deliverables. • Maintain project plans, status reports, project charters, and governance documentation. • Support change control processes and documentation updates.
Reporting & Communications • Prepare weekly project status reports, dashboards, and presentation materials. • Track milestones, dependencies, risks, and project health indicators. • Facilitate communication among project teams, business stakeholders, vendors, and leadership. • Ensure stakeholders receive timely updates regarding project progress, issues, and decisions.
Risk, Issue & Dependency Tracking • Track project risks, assumptions, issues, and dependencies. • Assist in documenting mitigation plans and action items. • Escalate project concerns and unresolved issues to Project Managers.
Resource & Schedule Support • Assist with project resource tracking and allocation activities. • Coordinate project timelines and implementation readiness activities. • Schedule meetings and maintain project calendars. • Support onboarding activities for project team members.
Continuous Improvement • Identify opportunities to improve project processes, templates, and reporting methods. • Support organizational project management standards and governance practices. • Assist with lessons learned and project closeout activities.
Requirements: • 2+ years of experience in project coordination, project administration, operations support, or related business functions. • Strong organizational and time-management skills. • Excellent verbal and written communication abilities. • Ability to manage multiple priorities simultaneously. • Strong attention to detail and accuracy. • Proficiency with Microsoft Office Suite, including Excel, PowerPoint, Word, Teams, and SharePoint. • Ability to work independently while collaborating effectively with diverse teams. • Problem-solving mindset with strong follow-through.
Preferred/Nice to Have: • Bachelor's degree in Business, Project Management, Healthcare Administration, Information Technology, or related field preferred. • Equivalent combination of education and relevant experience will be considered. • Experience supporting cross-functional projects preferred. • Experience using project management tools such as Microsoft Project, Smartsheet, Planner, Jira, Clarity, or similar platforms preferred.
