Job Description

Position Title: Specialist, Scheduling and Cell Logistics
Work Location: Summit, NJ
Assignment Duration: 12 Months
Work Schedule: 8am – 5pm local, 40 hours a week; Overtime and holiday support may be required; Tues, Wed, Thurs on-site
Work Arrangement: Hybrid – minimum 50% on-site; Remote work from home with consistent office setup and internet
Position Summary:

  • Responsible for scheduling and monitoring patient treatment schedules for commercial autologous cellular immunotherapy products.

  • Acts as the main point of contact for assigned treatment centers regarding patient scheduling.

  • Executes day-to-day operations (>= 95% of time); participates in projects and working groups as operations permit.

Background & Context:

  • Office-based role with real-time computer/phone work.

  • Occasional travel possible, not exceeding 10%. International travel not more than once/year.

Key Responsibilities:

  • Act as primary scheduling point of contact for assigned treatment sites

  • Create and maintain patient schedules in coordination with treatment and manufacturing sites

  • Troubleshoot and develop plans of action for issues throughout the patient journey

  • Interact with internal and external stakeholders via phone and email

  • Ensure a positive end-to-end customer experience

  • Execute exception processes (e.g., product returns, replacements, out-of-spec product)

  • Input and maintain transactional data in scheduling system

  • Train treatment sites on patient scheduling processes

  • Document feedback from customers and partners

  • Create and maintain master data in account management system

  • Participate in tactical and other meetings

  • Facilitate daily operations activities and meetings, including shift turnover

  • Provide real-time scheduling portal support to external users

  • Lead meetings with commercial matrix teams

  • Raise escalations and execute as assigned

  • Track account health and provide insights into trends

  • Comply with applicable SOPs, work practices, and documentation

  • Establish trusted relationships with matrix teams and treatment sites

  • Accountable for individual performance

  • Execute assigned project and working group tasks

Qualification & Experience:

  • Bachelor’s degree or 3 years of work experience

  • Preferred background in customer service, call center, patient services/navigator, account management, logistics, or supply chain
