Title: Administrative Assistant
Location: San Diego CA 92126 Onsite
Duration: 3+ months
Working hours: 4 hours per day
Shift Hrs: Mon-Fri (8 AM-12 PM OR 9 AM-1 PM) PST

- Looking for someone M-F for 4 hours a day
- The role is fully onsite
- Flexible for the right candidate
- The role involves work that may appear mundane but is critically important. Therefore, the ideal candidate must demonstrate strong attention to detail and avoid rushing through tasks simply to complete them. For the right candidate, there is flexibility regarding the number of workdays per week and daily working hours, particularly if accommodations are needed for commitments such as a school schedule.
- Scanning paperwork (about 2 hours a day)
- Data input spreadsheets (1-1.5 hours a day after scanning)
- Filing paperwork (0.5 hours a day after scanning and data input)
- Answer inner company emails about paperwork (0.5 hours a day)
- Essentially, paperwork generated from the previous day's work is left for scanning into our system the next day. After it is scanned, some of that paperwork must be tracked on various spreadsheets. Once the data input is completed, the paperwork is then filed away.
- Occasionally, scans are either not captured properly or pages are missed if the person scanning is not paying close attention. As a result, re-scan requests are received from people outside our office who rely on those documents. When this happens, the previously filed paperwork must be retrieved and re-scanned.
- These scans are used by several external teams for billing purposes, so it is critical that they are done correctly the first time. If attention is paid to the process and everything is executed properly, follow-up emails for re-scans can be avoided.
- As mentioned, the work is mundane but extremely important. Currently, with our office administrator rushing, many mistakes are being made. Spreadsheet tracking is delayed, and team is tasked with handling 5–6 re-scan requests daily. We urgently need someone who can remain focused and ensure tasks are completed accurately.
