Duration - Full Time / Direct Hire
Job Summary:
- Assists and coordinates the CEO in daily administrative needs and special projects.
- Maintains communication and strong working relationships with other Executives within the organization.
- Provides support to one additional executive, as well as shared office manager duties with the EA team (team of 3).
Primary Duties & Responsibilities:
- Arrange all domestic and international travel including flights, hotels, restaurants, itineraries, car service, and visas as needed. This includes weekly domestic travel to NYC for the CEO.
- Work with CEO’s external board organizations to ensure there are no conflicts between the external needs and the business needs.
- Manage calendar including scheduling daily meetings and video calls involving multiple time zones.
- Liaison between Client and the board of directors related to quarterly and monthly board meetings.
- Organize and submit expense reports and maintain records.
- Work closely with the finance team to review all invoices & POs pending CEO’s approval and approve on their behalf as needed.
- Assist with prioritizing requests as they arise
- Assist with creating documents, spreadsheets, and presentations as needed
- Coordinate events including off site events, leadership meetings, and office events.
- Ship FedEx Packages domestically and internationally
- Office manager duties include visitor registration, kitchen supply ordering and maintenance, mail sorting, package room organization, and communication with the building engineer and security.
- Other duties as assigned
Qualifications & Competencies:
- Prior experience supporting Senior Executives within a corporate environment.
- Expert level Outlook, MS Teams, Zoom, Excel, and PowerPoint
- Strong verbal and written communication skills
- Exceptional organizational skills and impeccable attention to detail.
- Able to maintain a high level of professionalism, integrity and discretion in handling confidential information
- Enthusiasm and a positive attitude
- Problem-solving skills
