Job Title: Claims Admin Support Spec Int
Duration: 6 months (possible contract to hire)
Location: Colchester, VT 05446
Shift Schedule: 9-3pm EST or 10-2pm EST (Manager is flexible and will work w/contractor on the timeframe) Mon- Friday
Hours: 32 hours a week or so
Position Summary:
Performs routine but varied clerical duties in accordance with standard procedures under direct supervision. Duties and tasks are standardized. Resolves routine questions and problems, and refers more complex issues to higher levels.
Top must-have skills / Candidate Requirements:
• Customer Service skills: specifically face-to-face as this contractor will be working directly with customers who are settling their losses, so having patience and showing empathy is important to the role
• Quality Check is accurate
• MS- Office Suite- Little data entry- internal
• Excellent written and verbal communication
• Organized and attention detail- as they will be checking documents for accuracy
• Ability to multi-task
• Ability to work independently and collaborate with other claims admin support specialists from time to time
• Display leadership while in the office
What will separate an average candidate VS a great candidate on a resume?
• Notary in VT (if a candidate submitted is NOT a notary- company will work with them on becoming one)
• Multiple years in customer service area
• Experience in the insurance industry
Day to day responsibilities:
• Point of Contact at the Front Desk of claims office
• Working with customers on their total loss paperwork and verifying information
• Obtaining documents from customers
• Handling payments
• Entering information into claims system
• Printing, faxing, mailing - outgoing and incoming
• Supply ordering, filing, organizing
• Tasks from internal system/queue to complete - creating FedEx labels, mailing, and faxing
Degrees or certifications required/Years of overall experience required:
• High School diploma or GED equivalent
• 2-3 years of experience in face-to-face customer service role
Who are this worker's main interaction going to be with?
• Main interaction is with the customers
• This is an independent office-
• Mentor is there to assist
• Virtual Supervisor support in the office
• Approx 20 workers in the office - 10 people any given time
• 55 Administrative Assistants make up the Admin Team and may be available for assistance via Teams/email (they're all in different offices)
Volume of customer appointments (approximation):
• 3-5 on a light day
• 10-15 on a heavier day
Average is 8 per day
• Note: Appointments are set for 15 minutes and the interaction during the appointment is approximate 5-10minutes as long as the paperwork is prepped and ready for the day
How will performance be measured:
• Observation of completion of task, showing respect toward the customers, displaying leadership skills; Accuracy & Efficiency of work
Interview Process:
• 1 round of Teams interviews
Secondary day-to- day responsibilities
• Perhaps the secondary responsibilities will occur when assisting the fulltime Admin and providing coverage when that admin is on PTO
• Liaison between customer and client filer
• Total loss paperwork, titles,
• Give checks to customer in payment
• Draft letters would be sent out to the customer's residence
• Send Fed Ex and intake
•Scan total loss paperwork into files
Will the contractor be working independently, or will they be collaborating with team members and/or a manager to complete tasks?
•This contractor will have someone to work with and who will train them well
How will performance be measured:
• Loose metric base, at this time, but efficiency and how they interact with staff and others in the office will be important.

Essential Duties & Responsibilities:
- Interacts by phone and mail with multiple internal and external contacts such as customers, vendors, medical providers, attorneys (plaintiff and defendant), law enforcement agencies, etc.
- Screens and directs telephone calls
- Maintains and updates office supplies
- Operates and maintains office equipment such as fax, printing and copying machines
- Coordinates office shredding with companies vendor.
- Conducts document maintenance - creates, retrieves and delivers files, and copies documents.
- May compose routine correspondence.
- Receives and directs visitors; and may resolve routine inquiries.
- Opens sorts and distributes mail (including USPS, Fedex and other delivery companies).
- Other various support duties (may set up meetings, may coordinate record retention, etc).
- May be asked to other duties as needed not represented on this list including additional searches, researching, and reporting as requested by leadership
- Occasional travel
KNOWLEDGE, SKILLS/ABILITIES:
- Working knowledge of office equipment.
- Customer service and follow up skills.
Physical Requirements/Working Conditions:
- Typical office environment requiring the use of typical office equipment (e.g., computers, phones, etc.). Computer keyboarding, computer monitor and mouse use including reaching forward, grasping, finger and wrist manipulation, and neck bending and turning; near vision is necessary for computer monitor use. If working in an Emerging Workspace, or similar working arrangement, lifting of laptop equipment, files and/or personal belongings weighing 10 lbs. or less is required.
