Job Description
As a Property Management Associate, you will oversee departmental and financial activities while supporting the Sr. Property Manager in the day-to-day operations of the property. The role requires professionalism, service excellence, attention to detail, and a focus on quality.
Act as the primary liaison for high-profile tenants within Suncor Energy Centre, ensuring timely resolution of operational issues through coordination with internal departments. Supervise the Building Services team, support budgets and capital plans, oversee contracts, prepare property reports, and assist in maintaining tenant satisfaction and compliance with company's goals, environmental requirements, and government legislation.

Job Description

Act as the primary liaison for high-profile tenants within Suncor Energy Centre, ensuring timely resolution of operational issues through coordination with internal departments. Supervise the Building Services team, support budgets and capital plans, oversee contracts, prepare property reports, and assist in maintaining tenant satisfaction and compliance with company's goals, environmental requirements, and government legislation.
Roles and Responsibilities:
- Act as the primary contact for escalated tenant inquiries, coordinating with operations, security, construction, accounting, and building services to ensure timely resolution.
- Manage the day-to-day operations of the Building Services Department, including performance management, objective setting, and staff development.
- Promote and adhere to all safety, health, and environmental policies, identifying and resolving potential hazards.
- Coordinate base building contractor projects, including window cleaning, landscaping, waste removal, carpet cleaning, pest control, janitorial, parking, and common area repairs.
- Assist in supervising the janitorial contract, ensuring compliance, budget adherence, and service quality through regular meetings and inspections.
- Attend monthly parking contract meetings, review parking reports, and provide recommendations to improve operations and customer satisfaction.
- Conduct monthly Key Account Meetings with major office tenants and regular meetings with retailers, documenting and distributing meeting minutes.
- Coordinate tenant move-ins and move-outs, ensuring all procedures, documentation, orientations, and tenant information are completed.
- Maintain the Tenant Information Guide, Tenant Database, website information, and coordinate tenant App updates with the Marketing team.
- Assist in monitoring Accounts Receivable to ensure timely follow-up and current account status.
- Administer lease documentation, storage area management, and maintain accurate lease records.
- Assist in preparing Monthly Property Management Reports, quarterly co-owner reports, and support managers with variance comments and reporting requirements.
- Assist with budget preparation, contract negotiation, operating cost management, bill approvals, maintenance records, and YARDI entries.
- Perform other duties as assigned.

Must have:
- Minimum 5 years working experience in a large commercial building environment.
- Minimum 3 years management experience and with direct supervision of staff.
- University degree is an asset.
- Possess or working towards RPA, FMA or CPM.
- Possess or working towards RECA Licensing in Property Management.
