Summary:
The Program Manager & Team Coordinator will support key projects, priorities, and day-to-day operations, helping keep cross-functional teams organized and moving forward.
In this role, you will coordinate across the functions at client.org, help manage timelines and follow-ups, and support the entire team in keeping priorities and key initiatives on track.
You’ll work closely with senior program managers, the team’s Executive Assistant, and functional leads to coordinate deliverables, track progress, maintain team resources, and surface risks or needs early.
You should bring strong organizational skills, attention to detail, and a proactive mindset, with the flexibility to navigate competing priorities and shifting needs while staying organized and following through with consistency.
This is a great role for someone who is building their program management & coordinator foundation in a fast-paced, mission-driven environment.
Skills & Responsibilities:
Support the execution of key programs and initiatives, including tracking tasks, timelines, and deliverables.
Maintain accurate and up-to-date project plans, documentation, and status trackers.
Coordinate across teams to gather inputs, schedule meetings, and ensure follow-through on action items.
Prepare and distribute meeting agendas, notes, and recaps.
Design and support team culture initiatives across remote and in-person environments.
Help plan and execute team events, offsites, activities, and recognition.
Identify and surface risks, dependencies, and blockers to senior team members.
Support the creation and upkeep of operational processes and tools.
Provide regular status updates to immediate stakeholders.
Collaborate with the broader PMO team on cross-functional projects and org-wide initiatives.
Qualifications:
3–5 years of experience in Program Management, Project Management, Operations, or a similar role.
Strong organizational skills and exceptional attention to detail.
Ability to manage multiple tasks and prioritize effectively under direction.
Clear and concise written and verbal communication skills.
Collaborative team player who works well with cross-functional partners.
Comfortable working in ambiguity and able to adapt quickly as priorities shift.
Proactive and self-motivated — anticipates what's needed and follows through without being asked.
Familiarity with program management tools (e.g., Asana, Jira, Smartsheet, Airtable, Ramp).
Genuine interest in nonprofit work and client.org's mission.
Location: San Francisco-based is preferred.
