About The Position We are seeking a detail-oriented marketing operations professional to support the execution of operational processes for a large-scale marketing event. This role will serve as the operational hub for participant contracting, cross-functional coordination, status tracking, and reporting across multiple initiatives. Working closely with Marketing, Legal, Finance, and Accounting, this individual will ensure contracting workflows are executed efficiently, operational systems remain accurate, and program milestones are met. The ideal candidate thrives in highly organized environments, enjoys improving processes, and can manage multiple complex workstreams while maintaining exceptional attention to detail.
Responsibilities
Coordinate end-to-end administrative workflows supporting participant contracting for a large-scale marketing event.
Prepare contract requests and supporting documentation, ensuring all required information is complete, accurate, and compliant with internal processes.
Maintain operational tracking systems by updating contract statuses, validating participant information, and monitoring workflow progress.
Generate reports on contract execution, outstanding deliverables, and program readiness while communicating status updates to key stakeholders.
Support post-event administrative activities, including participation verification and coordination of payment readiness with cross-functional partners.
Develop and maintain process documentation and standard operating procedures to improve operational consistency and efficiency.
Requirements
Minimum 1-3 years in business operations or project management
Strong understanding of process best practices to improve efficiency across cross-functional teams
Strong organization and project management skills, including a working knowledge of one or many project management tools
Extreme attention to detail and customer service orientation
Ability to forge relationships across a growing and evolving organization with complex decision influences
Ability to prioritize and multitask; ability to manage projects and campaigns with tight deadlines
