Position Title: Sr. Operations Manager, Operations & Administration

Work Location: South San Francisco, CA

Assignment Duration: 4+ Months

Work Schedule: Monday through Friday, Standard 8 shift

Work Arrangement: Hybrid (three days on-site, two days remote)

Position Summary

We are looking for an Operations Manager or Sr. Manager of Operations to join the Chief Marketing Office (CMO).

In this dynamic, high-impact role, you will drive operational excellence across two key teams: Access & Account Marketing (AAM), and Population Health (PH)

Background & Context

Team: CMO, Operations & Administration Team

Key Responsibilities

  • Lead planning and operational efficiency for the AAM and PH Teams
  • Act as a liaison between the CMO, AAM and PH
  • Identify necessary processes, communications, meetings, and resources to help both teams achieve objectives effectively and efficiently.
  • Partner with and manage external vendors and internal teams to deliver high-quality, on-time, and on-budget results
  • Identify and implement process improvements to enhance customer experiences
  • Serve as an operational subject matter expert (SME) to Chris Mediano (Sr. Marketing Director) and Gina Collins (Sr. Marketing Director) driving operational excellence across the following pillars:
  • Activation: Providing operational pull-through for the Organized Customer Access Network (OCAN) network and bridging the operational connection to Activation.
  • Strategic Communications: Orchestrating the connection and pull-through of CE Communication Strategy across AAM
  • Strategic Oversight: Driving AAM strategy, priorities, and the scaling of Customer Engagement (CE) best practices such as liaising with CE operations (eg, coordination of marketing resource rollout, execution, aligned comms with CE)
  • Business Operations: Managing budget oversight and partnering to deliver comprehensive performance metrics and measurement dashboards.
  • Partner with a Senior Administrative Business Partner for tactical and strategic execution of business operations.
  • Serve as an operational subject matter expert (SME) to Laura Mondragon-Drumright (Sr. Director)
  • Project Planning & Execution: Develop and execute comprehensive project plans, roadmaps, and milestones to ensure timely delivery and measurable results for population health efforts.
  • Technical Reporting: Run and compile usage reports for creative materials and marketing assets to track engagement.
  • Veeva & Asset Management: Manage the end-to-end lifecycle of creative materials; ensure PopHealth approved assets are correctly housed in GOLF and accessible for use.

Qualification & Experience

  • Bachelor’s degree and 5–7 years of relevant experience in marketing, vendor management, operations, or project management.
  • Proven project management or operations experience.
  • Thrives in ambiguity and rapidly changing environments, making sound decisions and effectively prioritizing competing demands.
  • Translates analytics, insights, and complex information into actionable strategies and execution plans aligned with organizational goals.
  • Combines strategic thinking with a strong operational mindset, building scalable systems, processes, and tactical toolkits to drive successful outcomes.
  • Applies project and operations management methodologies to deliver high-quality results on time, with strong planning, organization, and documentation skills.
  • Exceptional written and verbal communication skills with strong executive presence.
  • Simplifies complex concepts into clear, compelling, and actionable messages tailored to leadership and key stakeholders.
  • Actively listens, values diverse perspectives, and remains open to feedback and input.
  • Proven ability to inspire, align, and mobilize cross-functional teams in complex matrix organizations without formal authority.
  • Skilled at influencing peers, senior leaders, and stakeholders to drive alignment, decision-making, and execution.
  • Builds strong internal networks and effectively navigates formal and informal organizational structures.
  • Demonstrates strong teamwork and partnership skills, fostering collaboration across functions and levels.
  • Creates an open, trusting, and inclusive environment that encourages transparency, engagement, and shared success.
  • Proactive, agile, and resilient in high-stakes, fast-paced environments, with the ability to pivot quickly as priorities evolve.
  • Technically savvy, with experience using or the ability to quickly learn new tools, systems, and technologies (e.g., Veeva, GOLF, and other internal platforms).
  • Understanding of marketing (groups, processes, mindsets).
  • Experience in the pharmaceutical or biotech industry.
  • Expertise in Agile methodologies and modern work practices, including AI tools.
