Position Title: Project Coordinator
Work Location: Lake County, IL 60064
Assignment Duration: 12 Months (Extension based on performance and business needs)
Work Arrangement: Hybrid (3 days onsite)
Position Summary: E.J. Tolentino leads the Operational Excellence efforts for Discovery Research, which represents the early stage of R&D at The Organization. The team manages tactical and operational processes across Discovery Research to support scientific teams and ensure day-to-day business operations run efficiently.
Background & Context: This role supports a well-established publications process within the Publications Team. Publications may include scientific manuscripts intended for journals or presentations that scientists plan to present at conferences.
Key Responsibilities:
- The role is responsible for coordinating and facilitating the publication review and approval process while ensuring compliance with established procedures and approval workflows.
- The role begins with simpler responsibilities and gradually progresses into more complex publication review processes over time.
Qualification & Experience:
- Strong communication skills are required, including written, verbal, and interpersonal communication.
- Candidates must be comfortable working in a hybrid environment and be able to report onsite three days per week.
- Strong customer service skills are considered critical for success in the role.
- Candidates should be able to work effectively within a team environment and take direction from senior team members.
- The selected candidate will work closely with and be mentored by a senior coordinator during the onboarding and training period.
- Ability to learn new processes quickly and apply them consistently is essential.
- Strong attention to detail is required due to the use of approved templates, controlled language, and established publication review procedures.
- Candidates should be comfortable following and enforcing established SOP-driven processes across a large organization.
- Experience coordinating multiple projects and supporting stakeholders in a matrixed environment is preferred.
- Previous experience with publication processes or Operational Excellence functions is preferred and would stand out during the review process.
- Scientific knowledge or industry experience is considered a plus but is not required for success in the role.
- Experience using publication management or workflow systems is beneficial. The team currently utilizes DataVision and RTI, and training will be provided.
- Cultural fit, professionalism, customer focus, and the ability to learn and follow established processes are considered more important than years of experience alone.
