Job Description

Location: Arecibo, PR
Shift: Administrative (8:30 AM - 5:00 PM)

Job Summary:
Provides clerical support to a smaller department or group of individuals or works in conjunction with other clerical staff to support a work area or division. 

Responsibilities:

  • This position is responsible for the safe handling, preparation and filing the controlled documentation. Ensure that quality records and documents are archived and retained according to company procedures.
  • Assist in the change control and training activities; maintain databases and spreadsheets used in tracking documentation. 
  • Provide general administrative support to the Document Control area.
  • Receives, verifies, prepares (separate pages, remove binding mechanisms, etc.), identify, sort and organize and secure the quality records and controlled documentation to be retained. 
  • Assures that quality records are archived according to procedure requirements and maintains proper tracking documentation and
  • documentation of the destruction program. 
  • Provides support to Documentation Specialists in the managing, distribution and archiving of controlled documents. Providescopies of quality records to requesters in a timely manner.  
  • Support in maintaining the databases and spreadsheets used in tracking documentation routing. Maintain records information
  • within the databases and related to the movement of records, off-site storage and index of records. Prepare reports as required.
  • Package designated records in readiness for pick-up and safe delivery, label according to storage company’s requirements and
  • contact storage company for pickup.  Order the return of archived documents from storage company to retrieve documents as
  • required. 
  • Provide support to the Training Technicians in the managing of the training documentations (certification, re-certification, MES
  • access, data entry, etc. 
  • Ensure compliance with all Legacy procedures and all applicable regulatory agency requirements. 
  • Performs other related duties and special projects as assigned or directed. 

Requirements:

  • High School Diploma with no prior experience required.
  • Microsoft Office knowledge.
  • Requires proficiency in 1–2 software programs.
  • Candidate must at least be able to read English, not necessarily speak it.
