Job Description

We are seeking a highly professional and service-oriented Bilingual Receptionist to serve as the first point of contact for the organization. This role is responsible for delivering an exceptional front-desk experience while providing administrative, operational, and facilities support in a dynamic corporate environment.

The ideal candidate will demonstrate excellent communication skills in both English and Spanish, strong organizational abilities, attention to detail, and the capacity to manage multiple priorities with professionalism and discretion.

Key Responsibilities

  • Welcome visitors, clients, and employees in a professional and courteous manner, ensuring a positive front-desk experience.
  • Manage incoming phone calls, emails, and general inquiries, directing communications appropriately.
  • Maintain reception and common areas organized, presentable, and aligned with professional standards.
  • Support visitor management processes, including security logs, sign-in/sign-out procedures, and access coordination.
  • Coordinate onboarding logistics for new hires, including workspace preparation, orientation scheduling, and resource coordination.
  • Provide administrative support such as calendar coordination, document preparation, employee file organization, and presentation creation using Microsoft Office tools.
  • Assist with facilities-related tasks, including office supply management, maintenance coordination, and vendor communication.
  • Support internal teams with operational and administrative requests as needed.
  • Deliver excellent customer service to employees, vendors, and external visitors.
  • Handle confidential information with professionalism and discretion.
  • Effectively manage multiple tasks and shifting priorities in a fast-paced environment.

Job Requirements

Minimum Requirements

  • Advanced English proficiency (C1 level required — written and verbal).
  • Previous experience in receptionist, front desk, administrative support, or customer service roles.
  • Strong verbal and written communication skills.
  • Excellent organizational and multitasking abilities.
  • Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint, Outlook).
  • Ability to maintain professionalism and confidentiality in all interactions.

Nice to Have

  • Experience working in corporate or multinational environments.
  • Experience in Free Trade Zone companies is highly preferred.
  • Background supporting facilities, office administration, or onboarding processes.
  • Associate degree or technical studies in Business Administration, Customer Service, or related fields.
  • Ability to maintain a professional image and represent the organization positively as the first point of contact for visitors and employees.
