Job Description

Position Title: Project Manager
Work Location: Marlborough, MA 01752
Assignment Duration: 12 Months
Work Arrangement: Remote (East Coast-based ideal)

Position Summary: The Contract Project Manager is responsible for coordinating and driving the Service planning, execution, and tracking of this large project scope.

This role combines project management responsibilities with hands-on administrative and operational support to ensure that all Service activities related to the service project are executed accurately, on time, and in compliance with internal procedures. The contractor will work closely with cross-functional stakeholders (e.g., Quality, Service, Operations, Supply Chain, Customer Support) and serve as a central coordination point throughout the 12-month assignment.

Key Responsibilities:
Project Management & Coordination

  • Develop, maintain, and update the project plan, including timelines, milestones, and dependencies.
  • Coordinate cross-functional activities required to support the field action, ensuring alignment and timely execution.
  • Schedule, prepare, and facilitate recurring project meetings, work sessions, and status reviews.
  • Track progress against plan; identify delays or gaps and follow up with owners to drive closure.
  • Support risk and issue identification and tracking; help define mitigation and contingency actions.

Administrative & Operational Support

  • Maintain project trackers, logs, and dashboards (e.g., site completion status, open actions, issues, escalations).
  • Perform data entry, validation, and clean up in relevant tools and systems (e.g., spreadsheets, trackers, internal databases).
  • Prepare and distribute agendas, minutes, action item lists, and follow-up communications after meetings.
  • Support coordination of materials, documentation, and instructions required for the field action.
  • Assist with managing field schedules, service visits, and related logistics as needed.

Documentation & Compliance

  • Ensure accurate, complete, and timely documentation of project activities in accordance with internal procedures.
  • Maintain organized, audit-ready project files and records (e.g., approvals, communications, status reports).
  • Help ensure that all executed activities are properly recorded, including completion confirmations and any deviations/escalations.

Stakeholder Communication & Reporting

  • Serve as a central point of contact for day-to-day questions and coordination
  • Prepare and distribute regular status reports and summaries for leadership and key stakeholders.
  • Ensure consistent, clear communication to internal partners and field teams, including updates on progress, changes, and expectations.

Continuous Improvement Support

  • Capture lessons learned, feedback, and observations related to the execution of the project
  • Support the creation or refinement of templates, checklists, and processes to improve future field actions.

Qualification & Experience:
Required

  • Bachelor’s degree in Business, Engineering, Life Sciences, or related field; or equivalent relevant experience.
  • 3–5 years of experience in project management, project coordination, or a similar role.
  • Demonstrated experience supporting cross-functional projects with multiple stakeholders.
  • Strong organizational skills with the ability to manage detailed tracking, documentation, and follow-up.
  • Proficiency with Microsoft Office (Excel, PowerPoint, Word) and collaboration tools (e.g., SharePoint, Teams).
  • Strong written and verbal communication skills.
  • • Ability to work independently, manage priorities, and follow through on commitments.

Preferred

  • Experience in a structured, process-driven environment.
  • Experience supporting field activities, service operations, or large-scale deployments.
  • Exposure to project management methodologies and tools (e.g., basic Gantt charts, task trackers).

Working Conditions & Physical Demands (If Applicable):

  • Travel may be required, up to 20% (high estimate)
