Job Title: Project Manager, US Field Medical Capabilities
Location: 50% onsite at Princeton Pike
Duration: 8+ Months 


Hours: Mon-Fri 8am-5pm

Summary:
Provide operational and project management support across the Medical Engagement Excellence (MedEngageX) team. Responsibilities include coordinating meetings, trainings, managing internal communication tools and supporting business processes across Therapeutic areas. This role ensures seamless execution of projects and administrative tasks to enable team efficiency under the direction of the supervisor

Responsibilities:

Core Responsibilities/Essential Functions:
•  Deliver day-to-day administrative and project management support & coordination.
•   Plan and manage multiple departmental projects and meetings, including meeting scheduling, agenda, meeting notes and logistics. 
•  Support congress-related activities such as planning and on-site execution. 
•  Support the Medical Insights process.
•  Support priority clinical trials.
•  Maintain and update resources in Veeva Portal. SharePoint, MS Team, OneNote
•  Facilitate stakeholder communication and maintain project trackers.
•   Partner with the MedEngageX team and stakeholders to identify opportunities to enhance and/or streamline job related processes and workflows to maintain consistency and standardization between Therapeutic areas.
•  Identify areas where technology and AI can enhance or simplify workflows and processes.

Congress and Booth Operations
•   Partner with MedEngageX Directors, Field Medical and other colleagues to coordinate Congress booth staffing and priority coverage.  Work with US MedEngageX Directors to develop general Congress training and non-asset training decks, and prepare executive summaries for congresses. 
•  Set up central communication channels, such as MS Team Chat and OneNotes
•   Support the MedEngageX Directors with post-congress follow-through, including collecting session summaries, sending booth reminders and calendar invites, and coordinating on-site debriefs when appropriate. 
•  Manage team meeting logistics and reservations to ensure seamless coordination during congress events. 
•  Support planning sessions with US Field Medical. 

Medical Insights
•  Co-ordinate Medical Insights calls.
•  Manage and update Medical Insights meeting decks.
•  Assist the MedEngageX Directors in the collation and dissemination of call notes and insights decks.
•  Maintain and update all therapeutic area specific distribution lists.

Clinical Trials Support
•  Maintain appropriate e-mail distribution lists and trackers

SharePoint & System Support
•  Support Medical SharePoints in collaboration with WW Strat & Ops teams. 
•   Maintain MedEngageX sections on SharePoint sites to support the different therapeutic area functions, ensuring accessibility and version control. 




Intern Support
•  Serve as a secondary point of contact for summer interns, helping them navigate client's processes and understand the function of MedEngageX.

Event Logistic Management Responsibilities:

•  Logistics support of  US MedEngageX meetings
•   Support the production of creative/innovative/interactive solutions (podcasts, narrated slides, videos, apps, etc) as needed for various communications with stakeholders
•  Support storage and archive of material on MedEngageX,  platforms such as Vault/Sharepoint.

Other Responsibilities:
•  Conduct business in accordance with client's Values.  
•  Complete all assigned SOPs and training within designated timeframe and adheres to job-specific SOPs and Guidance Documents.
•  Adhere to daily/weekly assignments and demonstrates flexibility during times of competing priorities.
•  Develop and/or maintains all training materials as it relates to data entry/fulfillment activities. 
•  Participate in training of new hires, as appropriate, and ensures key activities are incorporated as part of the training.
•  Participate in on the job training programs to enhance professional growth.

Qualifications:
•  Minimum 4 years of project management, administrative or coordination experience, preferably in biotech or pharma.
•  Strong experience with meeting organization.
•  Strong experience with Microsoft 365, collaboration tools and productivity apps
•  Strong verbal and written communication skills
•  Ability to work cross-functionally and manage multiple priorities effectively.


Skills/Knowledge:  
•   Hight literacy with Microsoft 365 and other Productivity apps ie Microsoft Word, Excel, MS team, co-Pilot, SharePoint, OneNote 
•  Proficiency with technology and AI
•  Excellent written and oral communication skills 
•  Attention to detail and task oriented
•  Ability to effectively interact cross-functionally and across geographies 
•  Ability to assess workload and prioritize projects under tight deadlines
•   Flexible, with positive attitude; highly motivated self-starter willing to work in an environment where individual initiative, accountability to the team, and professional maturity 
• Comfortable working with limited day-to-day supervision
• Ability to multi-task, manage conflicting priorities with confidence, strong ability to take direction but also exercise judgment and independent thought
• High level of personal commitment and results-orientation 
• Ability to manage and coordinate complex projects with minimal direction
