Job Title: Project / Admin Coordinator
Duration: 18 Months
Location: Pomona, CA 91768 - This role is hybrid the onsite days are TBD
Travel: Will need to travel to multiple Client locations (primarily Pomona, Irwindale and Rosemead)
Mileage reimbursement is based on the company policy for reimbursement of mileage. So, if they are traveling a distance beyond their designated work location PIV, they would be eligible for the difference in mileage. The travel frequency will depend on required meetings and could include any Clients facility, Rosemead, Irwindale, primarily. HM do not anticipate this would be needed more than 2 times a month on average, but some months could be more and others less frequent.

Description:
- Schedule Management across multiple teams and disciplines
- Document Management (develop, store, update)
- Tracking Attendance, Training, reporting statistics
- Support On-boarding / Off-boarding process.
- Special projects as assigned by Advisors, Sr. Advisors, and Sr. Project Mangers
- Develop communications.
- Validate program documentation based on quality standards.
- Develop process and procedures.
- Teamwork and collaboration with a cross-functional team of technical experts
- Coordination with Senior level management
- Provide support as needed to set up meetings, order food, order equipment and supplies
- Maintain an inventory of facility issues, report issues to the correct party and track resolution.
Skills:
- Zero to Three years’ experience in an analytical position utilizing database programs and spreadsheet software. Demonstrated experience in gathering, documenting, analyzing and drawing conclusions on data and information. Demonstrated experience in performing a variety of functions and handling programs, projects, and assignments. Candidate must demonstrate good oral and written communication skills.
- May assist (under general direction) with developing specifications from which programs will be written.
- Familiarity with Clients work locations, policy, practices and procedures
- Ability to troubleshoot and resolve audio visual issues related to virtual and in-person meetings
- Expertise with Power BI or similar dashboard tools
- Expertise with Vision or other process modeling
- Ability to create and maintain project plans, project status reports and executive summaries
- Ability to present complex information to a large audience at the appropriate level of detail
