Job Title: Senior Administrative Assistant
Duration: 6 months
Location: Deerfield IL, 60015
Open to Remote/Hybrid: 3 days per week in the office
Work Schedule: 8h per day min
Duties & Responsibilities:
• Leadership: Executive support of VP R&D and VP, Marketing.
• Office Management: Oversee daily office operations, ensuring efficient workflows and adherence to organizational policies.
• Team Leadership: Manage and supervise administrative staff within Marketing and R&D team, providing guidance, training, and performance evaluations.
• Meeting Coordination: Organize and coordinate meetings, events, and travel arrangements for senior management in collaboration with HST Leadership administration.
• Communication Management: Handle sensitive correspondence and communications, ensuring confidentiality and professionalism.
• Budget Oversight: Assist in budgeting and expense tracking for administrative functions, ensuring compliance with financial policies, Travel and expense report management.
• Project Management: Monitor and report on administrative activities and project progress, providing updates to senior management.
• Resource Management: Maintain and manage office supplies and equipment, ensuring availability and functionality.
• Compliance Assurance: Ensure compliance with organizational policies, regulations, and best practices.
• Special projects and other duties as assigned/ Preferred based in Deerfield, IL
Qualifications:
• Must have excellent oral and written communication skills to effectively communicate with high levels of the organization.
• Ability to work independently and identify proactive solutions to complex situations.
• Manage multiple tasks with high attention to detail and high degree of accuracy and timeliness.
• Advanced Microsoft Office skills.
Education/Experience:
• HS diploma or equivalent. Associate degree or professional certification preferred.
• 8+ years experience supporting Leadership staff as a Sr Administrative professional.
