Title: Deal Operations Specialist (Operations Analyst II)
Duration: 12 months
Location: remote
We are seeking an organized, detail-oriented Deal Operations Specialist to support our investment and finance teams. This role will be primarily responsible for maintaining data integrity within clients CRM, collaborating with investors to ensure all deal flow is captured accurately, and assisting the finance team with reviewing and processing portfolio company financials. Additionally, this role will capture and maintain portfolio investment data, ensure deal memos and documentation are properly filed, and perform other critical operational tasks. The ideal candidate will have demonstrated VC industry experience, familiarity with financial statements, knowledge of SaaS metrics, strong client tool skills, and a keen eye for accuracy and completeness. Additionally, the ideal candidate will demonstrate strong communication, relationship-building, and follow-up skills to engage effectively with senior-level stakeholders who have demanding schedules.

Key Responsibilities
CRM Data Management
- In collaboration with the global investment team, maintain and update company and investment opportunity data.
- Refine processes to ensure data quality, consistency, and timely entry of relevant information.
- Manage data collection for portfolio company on-boarding.
- Collaborate with investors to capture and record new investment opportunities, updates on ongoing deals, and relevant follow-ups.
- Monitor deal stages, maintain accurate pipeline statuses, and communicate any issues or missing information to the investment team.
- Ensure deal memos and other key investment documentation are properly filed and easily accessible.
- Track investment committee votes and feedback processes.
- Capture closed investment data, organize final terms, and record post-deal notes.
- Assist the finance team with processing and reviewing financial statements from portfolio companies.
- Verify data completeness and accuracy by validating documentation, financial metrics, and resolving discrepancies.
- Review and audit portfolio company tear sheets, summarizing all key data points of our investment and the company's performance.
- Coordinate with portfolio company contacts to gather additional information and clarify any irregularities.
Required Qualifications
- Venture Capital Experience: Minimum of [2+] years working in a venture capital setting or closely related industry.
- Executive Presence & Communication: Demonstrated ability to engage confidently with high-level stakeholders, proactively gather details in a fast-paced environment, and diplomatically drive processes forward.
- CRM Proficiency: Proven experience managing and updating a clients database, generating reports, and maintaining data integrity.
- Financial Acumen: Familiarity with venture capital deal documents (e.g., term sheets, cap tables, MRLs).
- Attention to Detail: Strong organizational and analytical skills with a track record of accurate data entry and document processing.
- Communication Skills: Excellent verbal and written communication skills, with a focus on collaborative problem-solving among cross-functional teams.
- Technical Skills: Proficiency in Microsoft Excel, Google Workspace, or equivalent tools.
- Advanced Salesforce certifications (e.g., Salesforce Administrator).
- Bachelor’s degree in Finance, Accounting, Business, or a related field.
- Experience working with portfolio reporting platforms or fund management systems.
- Strong understanding of venture capital deal structures and associated documentation.
