Job Title: Associate Project Management
Location: Thousand Oaks, CA
Duration: 1 year (Possible Extension)
 
Local to USTO - 1x per week onsite

Ideal Candidate:
B.S. with 1-2 years of experience in general project management. Strong time management. Ability to work with basic data and building graphs.
Skills: MS Suites, Viso,
Nice to have: Power automate, Smartsheet.


Job Description:
This person will support an Operations team performing project management and logistics-based tasks for various externally sourced programs.

- Coordinate multi-site logistics activities with external vendors on behalf of client and collaborate with various internal organizations in support of outsourced programs.
- Manage the transfer of large data files between company and external vendors with accuracy, and maintain in an organized fashion.
- Manage all documentation in an orderly manner, including Meeting Minutes and distribution.
- Manage SharePoint (or similar) site for information and communications, developing FAQs, etc.
- Maintain and manage documents pertaining to project meetings, decisions, data, etc.
 
Day to Day responsibilities:
Responsible for supporting the execution of program integration from multiple sites. Establishes and implements project management processes and methodologies for the project team. Responsible for tracking key project milestones and adjusting project plans and/or resources to meet the needs of customers. Manages SharePoint site for compilation of project information, team members, meeting minutes, etc. Utilizes excellent communication skills to drive progress and report on status. May assist Project Manager and Program Manager(s) in collecting data and information for decision-making.
 
Basic Qualification:
Bachelor degree OR Associate degree and 4 years of experience OR High school diploma / GED and 6 years of experience
 
Top 3 Must Have skills:
1. Computer skills: Microsoft Project, SharePoint, Excel, PowerPoint, Visio (Power Automate & Smartsheet experience a plus)
2. Ability to work autonomously and under tight timelines
3. Well organized with excellent time management skills
 
Possible Extension: Yes
 
Red Flags:
Role is hybrid, requiring a site presence up to 1-2 times per week. Otherwise, can work remotely 3-4 days per week.
Poor communication
Unable to work in a team environment.
